Refunds & Cancellation
Deposits are non-refundable and only transferable at our discretion. Your commitment to TrailWorld Limited starts six weeks prior to your activity with TrailWorld, even if you have not paid your final balance in full. If you cancel after this date you will be invoiced for any outstanding balances - this is to protect us and allow us enough time to fill the place that you have committed to.
4-6 weeks prior to your adventure tour/school/activity - 50% refund.
2-4 weeks prior to your adventure tour/school/activity - 25% refund.
0-2 weeks prior to your adventure tour/school/activity - no refund.
Example: You cancel a tour within 3 weeks of your scheduled date. The full price is £219, minus your £50 non-refundable deposit which leaves a balance of £169. You will be billed for £169 minus 25%.
Gift Vouchers: If you reserve a date with us and have a gift voucher, cancellation within 3 weeks of your booking will result in your voucher becoming invalid regradless of supplier.
Think of it this way, if you booked a flight with an airline, you would have to pay in full immediately and in most cases you would not receive any refund if you decided to cancel your flight and most certainly would not if you simply did not turn up.
HOWEVER.... We do try our very best to remain as flexible as possible and may, at our discretion, be able to arrange an alternative date for you in extreme circumstances that have resulted in a cancellation that may have been beyond your control if we have been given as much notice as possible (minimum 2 weeks). We are a small, independent company that relies on customers fulfilling their commitments with us, which in turn, enables us to offer good value for money.
BALANCES
Please be aware that TrailWorld DO NOT accept credit/debit cards or cheque payments on the day of your activity. Balances should be settled 21 days in advance if you wish to pay via credit/debit card or cheque.
IMPORTANT - If you decide to cut short your tour, school or other activity with us for any reason, do not turn up on a particular day on a multi day tour, or do not meet the criteria to take part in a particular activity as set out in this website (such as being under the influence of alcohol etc) TrailWorld Limited are not at liberty to offer a refund or organise another day for your tour, school or other activity.
Participant Behaviour
The tours, schools and other activities that we run are designed for the maximum enjoyment of all participants. Activities are not designed as ‘a race’ and as such we ask all participants to behave in a responsible and courteous manner to all other riders, the public and our guides. Participants that are found to be riding in an irresponsible or dangerous manner will be cautioned and if this behaviour continues the guide will call an end to the participants tour, school or activity without refund. Any riders found to be under the influence of alcohol or drugs will be refused participation without refund.
Motorcycle Damages
There has to be a balance between what is and what is not acceptable when it comes to damages and we like to be up front about it. On one hand, it would be unfair for TrailWorld to end up spending more on repairing the motorcycle after a school than it cost for the customer to take part, but on the other hand we do accept that people will take to odd tumble! We believe we have come up with a fair and very tolerant system where we split the damages to the bikes in to two categories - OUR responsibility and YOUR responsibility.
OUR responsibility is to accept that there will be one or two spills where control levers may get broken and bodywork scratched - we will allow two control levers to be damaged before any charges become payable by the customer. We are also happy to accept any scratches and minor damage to body panels.
YOUR responsibility is to ride with due care and attention, and NOT ride on the rev limiter or treat the tour, school or other activity as a race day. If you are riding in a responsible manner there should be no reason for the bike to become damaged seriously. However, you will be responsible for the following items:
Smashed headlights/rear lights • bent frame • damaged exhaust system • damaged engine due to over revving or immersion in water • bent wheels • burnt out clutch • smashed or damaged engine casings.
You can protect yourself for damages up to £250 by taking out our optional damages insurance at £20 per day. Any damages above £250 will be charged at cost. We have not lost a bike (or a client!) over a mountain yet so damages should not really be an issue if you are sensible.
You can take reassurance in the fact that damages such as these are very, very rare and have only happen when the partipant is acting irresponsibly.
Please also note that you must listen to the instructions of your tour, school or other activity supervisor. Starting proceedures for the vehicles, turning ignitions off and not riding on the rev limiter etc are very important issues. If you consistently ignore these instructions your vehicle may become inoperable and TrailWorld are not at liberty to offer a replacement.
If the motorcycle or other vehicle that you have been assigned is damaged in such a way that it becomes unsafe, or inoperable due to rider error, TrailWorld Limited are not at liberty to supply a replacement vehicle and you will be recovered, along with the motorcycle or other vehicle and returned to base at your cost. All water crossings, hill climbs and other challenging terrain is undertaken at your own risk and is completely optional. If a motorcycle or other vehicle becomes inoperable due to mechanical failure, TrailWorld Limited will do everything possible to supply a replacement where possible, or to offer an alternative date to complete your tour.
Postponements
From time to time it may become necessary to temporarily postpone activities due to bad weather conditions or other issues beyond the control of TrailWorld staff. In these cases TrailWorld will reschedule your activity, and where necessary, extend experience day vouchers that are near their expiry dates. TrailWorld will endeavour to inform participants at the earliest possible time. TrailWorld will not be held responsible for any other costs that you may have incurred such as travel or accommodation.
Freewill - You understand that your participation in a TrailWorld Limited activity is completely optional and undertaken at your own risk.
